I am Tania Richards, trading as Sober Horizons.

Sober Horizons provides sober coaching and support to women who want to explore their relationship with alcohol and create a fulfilling life beyond alcohol.

For the purposes of UK data protection law, I am responsible for deciding how and why your personal information is processed.

Sober coaching can involve discussing personal experiences, habits, relationships, wellbeing and your relationship with alcohol.

You may choose to share information about your physical or mental health, medication, alcohol use or other personal circumstances during coaching.

Some information relating to health may constitute special category data under UK data protection law and is subject to additional protections.

I will only process this type of information where I have an appropriate lawful basis and, where required, an additional condition under applicable data protection law.

You are not required to disclose information that you do not wish to share.

I will not use information you share with me during coaching for marketing purposes.

Communicate with you about your coaching programme
Understand and support your coaching goals
Provide appropriate coaching support and accountability

For example, I need your contact details to arrange your coaching sessions.

For example, this may include maintaining appropriate business records, managing enquiries and administering my services.

Because of the nature of sober coaching, you may choose to discuss matters relating to alcohol use, health, wellbeing or medication during coaching.

Where I process information that constitutes special category data, I will only do so where the requirements of applicable data protection law are met.

I will take appropriate steps to protect this information and will not use it for marketing purposes.

Sober Horizons does not provide medical treatment, diagnosis or medical advice. Where you require medical or mental health support, you should seek advice from an appropriately qualified healthcare professional.

7. Who I share your information with

I do not sell your personal information.

I may share limited personal information with service providers who help me operate Sober Horizons and provide services to you.

These may include:

Wix

I use Wix to operate and manage the Sober Horizons website and certain website functions.

Google

I use Google services, including Gmail, Google Meet and Google Drive, to communicate with clients, conduct online coaching sessions and store business and coaching documents.

Google Meet coaching sessions are not recorded by Sober Horizons.

SignWell

I use SignWell to send and manage electronic coaching agreements and obtain electronic signatures.

I may use WhatsApp to communicate with clients where this has been agreed or is appropriate.

WhatsApp is a third-party messaging service. I will avoid using WhatsApp as a storage system for detailed coaching records or sensitive coaching notes.

Monzo Business

I use Monzo Business for business banking and to receive payments by bank transfer.

I do not ask clients to provide online banking passwords or security information to me.

Mailchimp

I may use Mailchimp to send marketing emails to people who have appropriately subscribed to receive them.

Coaching clients are not automatically added to my marketing list simply because they use my coaching services.

You can unsubscribe from marketing communications at any time using the unsubscribe link in the relevant email or by contacting me.

I may also use other professional service providers where necessary to operate my business, meet legal obligations or provide my services.

Where another organisation processes personal information on my behalf, I will take appropriate steps to ensure that the information is handled in accordance with applicable data protection requirements.

8. International transfers

Some of the technology providers I use may process or store personal information outside the United Kingdom.

Where personal information is transferred outside the UK, I will take appropriate steps to ensure that the transfer is carried out in accordance with applicable UK data protection law and that appropriate safeguards are in place where required.

9. How I protect your information

I take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

These measures include:

Using password-protected accounts
Limiting access to client information
Using reputable service providers
Taking care when sharing client information electronically
Keeping coaching information separate from marketing information
Avoiding unnecessary storage of sensitive coaching information in messaging applications

No method of electronic storage or transmission can be guaranteed to be completely secure. However, I will take reasonable steps to protect the information I hold.

10. How long I keep your information

I retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing coaching services, maintaining appropriate records, meeting legal and accounting obligations and dealing with potential complaints or disputes.

Different types of information may need to be retained for different periods.

When information is no longer required, I will take reasonable steps to securely delete or anonymise it.

Where information is held in backups that cannot immediately be deleted, I will take reasonable steps to ensure that it is not actively processed and will delete it in accordance with my normal backup procedures.

11. Marketing

I may send information about Sober Horizons, including news, resources, events, coaching services or other relevant content, where I have a lawful basis to do so.

Where consent is required, I will ask you to actively opt in to receive marketing communications.

You can unsubscribe from marketing emails at any time by:

Clicking the unsubscribe link in the email; or
Contacting me at hello@soberhorizons.co.uk.

Unsubscribing from marketing communications will not affect essential communications relating to an existing coaching relationship.

I will not use information you share with me during coaching about your alcohol use, health or personal circumstances to target you with marketing.

12. Cookies and website information

The Sober Horizons website may use cookies and similar technologies to make the website function properly, understand how visitors use the website and, where applicable, support other website functions.

The cookies and technologies used may depend on the features and settings of the Wix website.

Where consent is required for particular cookies or tracking technologies, appropriate consent mechanisms will be used.

You can also manage cookies through your browser settings.

13. Your privacy rights

Under UK data protection law, you may have rights including:

Sober Horizons provides coaching services to adults.

I do not knowingly provide coaching services to anyone under the age of 18 or knowingly collect personal information from children for the purpose of providing coaching services.

If I become aware that I have inadvertently collected personal information from a child, I will take reasonable steps to delete it where appropriate.
